At a busy event, people give a sign only a moment of attention. Good event signage makes that moment count: it helps visitors find their way, recognise a brand and understand what to do next. Start with the visitor journey and the venue, then choose the design and print format that suit each location.

What effective event signage needs to do

Before designing artwork, list the questions a visitor will have: Where do I enter? Where is the stand or activation? What is happening here? Where should I go next? Give each sign one clear job. A welcome sign can carry the brand; a directional sign should prioritise the destination and arrow; a promotional sign can explain the offer or activity.

Think in layers. Large signs should be readable from a distance, medium signs can identify zones, and small signs can provide instructions at the point of use. Consistent colours, wording and arrow styles make the whole event easier to navigate.

Choose the right types of event signs

Indoor signs and display graphics

For exhibitions, conferences and pop-ups, consider entrance graphics, stand backdrops, pull-up banners, counter signs and floor graphics. The right mix depends on sightlines, visitor flow and how much space the organiser gives you. Portable roll-up banners and custom flags can support a larger exhibition display.

Outdoor event signs

Outdoor event signs need to work in changing light and weather. Check viewing distance, mounting points, wind exposure and the event organiser’s rules before choosing a format. Corflute boards can suit temporary directions and schedules; banners and flags help identify entrances or activity areas. Ask about suitable fixings and finishes for the actual site rather than choosing a material from a photo alone.

DSS produced event signage and displays for a Cotton On beach event. In an open space like this, sightlines and the distance between activity areas are part of the design brief.

Festival signage

At a festival, signage needs to guide moving crowds and stand out among competing sights. Use clear entry, queue and wayfinding messages first, then build the visual experience around them. Branded backdrops, flags and dimensional props can make an activation memorable without making essential directions harder to find.

For example, DSS built Coopers can-shaped festival backpacks as mobile branded displays. For a different visitor experience, see the Polo Ralph Lauren Australian Open display at Melbourne Airport. These projects show how custom fabrication can sit alongside printed event graphics.

Design for the audience and the space

Colour and contrast

Use your brand colours, but check whether the message remains easy to read against its background. Strong contrast matters more than squeezing every brand colour onto one sign. View a proof at roughly the size and distance people will see it, and consider how venue lighting may change the result.

Fonts and wording

Choose a simple, legible typeface for directions and important details. Keep the most useful words largest: a destination, an action or a short offer. Avoid long paragraphs on signs people will pass while walking. If a sign must include detailed instructions, place it where visitors can stop safely to read.

Images and graphics

Use one strong visual idea instead of several competing images. Check that supplied logos and photographs have enough resolution for the final print size. Leave room around the message, and keep arrows, icons and calls to action consistent across all signage for events.

Plan event signage printing early

Match materials to the job

Material choice depends on use, duration and installation. Lightweight temporary boards can suit short events; rigid panels provide a different finish for repeat use; fabric or banner materials can cover larger spaces and pack more easily. If signs will be outdoors, tell the printer how long they need to last and exactly how they will be mounted. DSS can discuss large-format printing and finishing options for the brief.

Protect print quality

Set the final dimensions before preparing artwork. Supply logos in a suitable high-quality format, check image resolution, allow for bleed where required and proof every date, sponsor name, arrow and QR code. Ask for a colour sample when a close brand match matters. Printing is only one stage: lamination, trimming, mounting and installation all affect the finished sign.

Keep the budget practical

Prioritise signs that solve visitor problems, then add promotional pieces where they will have the most impact. Reuse standard sizes or portable hardware where practical, and group similar print items in one brief. Send dimensions, quantities, artwork, installation details and the event date together so the quote reflects the full job.
